At VoiceOwl, we are committed to protect your privacy and meet all legal and regulatory requirements regarding data protection and privacy. We have created this Privacy Policy as part of our Terms of Service to explain what information we collect, how we use, share and process the collected information, on our website Voiceowl.ai and on other websites and services that we operate.

Our customers control the personal information of their end users as “Data Controllers” or “Data Fiduciaries.” We, as a “Data Processor,” handle this information on behalf of and according to the instructions of our customers. We do not have a direct relationship with our customers’ end users. Therefore, our services may involve processing personal information in ways that are not detailed in this notice. It is the responsibility of our customers to inform their end users about privacy and data processing, including:

(1) the reasons for collecting and using personal information,
(2) a contact person for inquiries or complaints,
(3) the types of third parties with whom personal information is shared, and
(4) the options individuals have to limit the use and disclosure of their personal information. If you are an end user of our customer and want to understand how your personal information is used, please contact the customer directly with whom you interact. VoiceOwl acts as a Data Controller for certain information collected from other individuals, as explained in this notice.

Definitions

When we say, “we,” “our,” or “us,” we’re referring to Voiceowl, an Indian company, our employees, directors, officers, affiliates, and subsidiaries.

When we say “you” or “your,” we are referring to the person or entity that’s registered with us to use the VoiceOwl Services.

When we say “Websites,” we mean our websites located at Voiceowl.ai, Voiceowl.ai, including all subdomains and sites associated with those domains, and other websites that we operate now and in the future.

When we say “Services,” we mean our Websites, Application Programming Interfaces (APIs), applications, our content, and various third-party services that make up VoiceOwl.

When we say “VoiceOwl,” we mean our Websites and Services collectively.

When we say “information,” we mean all of the different forms of data that you provide us and that we collect from you from your use of the Services, your software, and your devices.

The information that we collect depends upon the context of our interaction and adheres to your privacy settings. It also depends upon your use of features, location and legal obligations. We collect the following information through your use of our sites and services.

This information may include your name, billing and mailing address, email address, phone number, and credit card information. We use a third-party intermediary to manage credit card processing. This intermediary is not permitted to store, retain, or use your billing information for any purpose except for credit card processing on our behalf.
  2. Anonymized Information from your use of Services: This information includes your de-identified location information, browser type, information about devices used to access our Services, or other aggregated, de-identified information about how you use our Services.
  3. Cookies: When you use VoiceOwl, we store “cookies,” which are strings of code, on your computer. We use those cookies to collect information about when you visit our Website, when you use the Services, your browser, your operating system, and other similar information. Most browsers allow you to block and delete cookies. However, if you block our cookies, our Services may not work properly.
  4. Third Party Cookies: The use of cookies by third parties is not covered by our Privacy Policy. We do not have access or control over these cookies. Third parties use session ID cookies to make it easier for you to navigate our Websites. We use third-party services to provide the necessary hardware, software, networking, storage, and related technology required to run and improve our Services.


How We Use Your Information

To build communication – We use your personal information to create your account and use our services including updates, security alerts, to send newsletters and administrative messages for better communications of our developments. Such information helps us in personalizing your experience and to provide for better customer support. 
  2. Implement our Services – We use your information to operate and administer our Sites, and to provide, operate, monitor, and maintain our Services. 
  3. To bill you for services- We use your payment and transactional information and your billing address for the convenient payment of our services.  
  4. To transfer your information in the case of a sale, merger, consolidation, or acquisition- In such cases notice needs to be given to the individual regarding transfer of personal information. .
  5. To personalize your experience. – For this, information like location is used. This helps us to provide for better understanding of your demand from us and give you a personalized experience.   
  6. To improve our Services and our products.-we use and analyze the data to improve gaps in our services and to deliver our customer a wholesome experience. We also analyze how you use our Sites and Services to deliver the Sites and Services, and improve functionality, quality, and user experience. Our analysis includes using Customer end user information to train Customer AI models. 
  7. To serve and response to legal process- To respond to subpoenas, court orders, or legal process, or to establish or exercise our legal rights or defend against legal claims,

DISCLOSURE

VoiceOwl discloses the personal information when required by the third parties with prior permission of the individual or as required by the law and law enforcement agencies. 

TO THIRD PARTIES SERVICE PROVIDERS 

  1. We may share information with Sub processors, strategic partners, and service providers – for instance, to send out newsletters or to process payments. A Sub processor is a service provider that VoiceOwl uses to process data on behalf of our customers, who are the data controllers of that data.
  2. When we have your permission to share your information.
  3. When we have given you prior notice that the information will be shared.
  4. Any other suppliers, sub-contractors, resellers distributors, vendors and other service providers acting on our behalf.
  5. To enforce our terms and conditions or to protect our operations or users.
  6. If a transfer of your information is required under the terms of a reorganization, merger, or sale of the company.
  7. When we determine that information is aggregate information or other information that does not identify you.


LEGAL OR PUBLIC AUTHORITIES

  1. When we are required by law, or legal process to disclose information such as a court order or a subpoena.

ADVERTISING PARTNERS 

We collaborate with third-party advertising networks, exchanges, and social media platforms (Such as, Facebook and Twitter) to showcase ads on our websites and manage advertising across other platforms. Retention Period of Your Information 

We retain your information and data that we process on your behalf as long as your account is active, as needed to provide our Services, and as necessary to comply with our legal obligations and resolve disputes.

If you are an Indian resident, in addition to the rights set forth in this Privacy Notice, you have the right to request information from us regarding how we collect and share certain categories of your personal information. The categories of information are:- 

  • Right of Access Information about Personal Data: You have the right to request access and receive certain information about how we use personal information about you and who we share it with.
  • Right to Correction of Personal Data: You have the right to request correction of personal information we hold about you where it is inaccurate or incomplete.
  • Right to Erasure of Personal Data: You have the right to request deletion of the personal information we hold about you:
    • Where you believe that it is no longer necessary for us to hold your personal information;
    • Where we are processing your personal information based on legitimate interests and you object to such processing and we cannot demonstrate an overriding legitimate ground for the processing;
    • Where you have provided your personal information to us with your consent, and you wish to withdraw your consent and there is no other ground under which we can process your personal information; or

Children’s Personal Information

We do not knowingly collect, process, use or maintain personal information from individuals under the age of 18. If you are a parent of a child under the age 18 years, and you believe that your child provided us with information about himself or herself, please contact us immediately.

Public Information and Third Parties

Voiceowl Blog: We have public blogs on our Website. Any information you provide in these areas may be read, collected, and used by anyone. If your personal information appears on our blogs and if you would like to remove it, you can send your request to [email protected]. In some cases, we may not be able to remove your personal information, in which case we will let you know if we are unable to do so and why.

Third Parties: We are not responsible and this Privacy Policy does not cover your use of any third-party widgets, features, or websites or links to third-party websites or services. We encourage you to read the privacy policy of any third-party site you visit or service you use carefully.

We publish customer testimonials on our website, which may contain personal information. We obtain consent to post the customer’s name along with their testimonial. To request the removal of your personal information from a testimonial, please email us at [email protected].

Social Media Widgets: Our Websites include social media features. These features may collect your IP address, which page(s) you are visiting, and may set cookies to make sure they function properly. Social media features and widgets are either hosted by a third party or hosted directly on our site. Your interactions with those features are governed by the privacy policy of the companies providing them.

  • Third-Party Integrations: We may offer integrations with third-party products, applications, or other functionality not operated or controlled by us (“Third-Party Integrations”). If a Third-Party Integration is with Google (for example, where we offer Google Calendar, Google SSO, and Google Workspaces integrations), then generally, the data we access from Google is listed in the integration flow, and our use of such data is explained on our integration page. Where applicable, our collection and use of data received from Google’s APIs is informed by Google’s Limited Use Requirements.

Correcting And Updating Information

If you are our customer and would like to access or delete information that you provided, you may do this by signing in to VoiceOwl and making the change or by emailing us at [email protected]. We will respond to your request within 30 days. We may decline to process unreasonable requests or requests that are not otherwise required by local law.

We retain your information and data that we process on your behalf as long as your account is active, as needed to provide our Services, and as necessary to comply with our legal obligations and resolve disputes.

We have no direct relationship with third parties with whom our users may interact using the Services. Any such party who would like to amend or delete data which may be stored in the Services should direct his or her request to the applicable VoiceOwl user acting as the “data controller” for such information.

Any such party who no longer wishes to be contacted by a VoiceOwl user, should contact that VoiceOwl user directly.

We reserve the right to modify this privacy statement at any time, so please review it frequently. If we make material changes to this policy, we will notify you here and by email.
